Japan schedule of stay: sample and how to fill it in (滞在予定表)
The Schedule of Stay, also called the travel itinerary, shows the embassy what you will do in Japan each day and where you will stay each night. It is one of the basic documents for a short-term visa.
Download the blank official form from our Japan visa forms page, or upload your flight and hotel bookings and we build it for you, night by night.
The four columns
- Date
- Every day of the trip, from the day you land to the day you leave, one row per day.
- Activity plan
- What you plan to do that day: arrival, sightseeing, family visits, meetings, travel between cities, rest days, departure.
- Contact
- A phone number where you can be reached that day, usually your hotel’s or your host’s.
- Accommodation
- Where you sleep that night: hotel name and address, or your host’s home.
Sample: 8 days in Tokyo and Kyoto
Four nights in Tokyo, then three in Kyoto, flying into Narita. The hotels are examples. Notice the rest days and that the hotel-change day is only for travel.

Tips
- Match your bookings: the first and last dates must be your flight dates, and each night must match a hotel booking.
- Be realistic: arrival and hotel-change days are travel days, and a rest day every few days looks credible.
- Keep it consistent with the visa application form: same arrival date, port of entry, length of stay and hotels.
- Visiting relatives or business? The days can be family time or meetings; write who you are seeing.
- If the table is longer than the form, continue on another sheet in the same format.
Some embassies provide their own itinerary form. Use theirs if they ask for it; the content is the same.
